Workflow: Budget allocation

Written by Natascha Groels

What does the budget allocation workflow involve?

The budget allocation workflow means that an orderer is assigned a maximum budget via a cost centre, up to which they can order.

How does the budget allocation workflow work?

As soon as the budget allocation workflow is set up, you work with cost centres. For every order an orderer wants to place, they must then always select a cost centre in the shopping cart. The orderer can order up to their budget.

You can read how to create and link cost centres here: Creating cost centres or linking them to a user

Important to know

There are a number of things to take into account if the budget allocation workflow has been set up.

  • If budget allocation is set up as a workflow, at least 1 cost centre must always be linked to the orderer. If an orderer doesn't have a linked cost centre, they won't be able to select a cost centre in the checkout to which the order should be booked.

  • An orderer can be linked to multiple cost centres. This means that a cost centre with a budget can also be shared by multiple orderers.

  • As soon as budget allocation is set up as a workflow, a "Mijn budgetten" (My budgets) block is added to the customer's dashboard. Here the orderer can see all linked cost centres, together with an overview of the status of submitted budget requests.

  • It's possible to make budget requests in the checkout if the budget isn't sufficient to place the order. This setting can optionally be turned on or off per brand portal. More information: Brand portal settings - Shopping cart
