Which roles are there and what do they involve?

In Premium ID, you can assign different roles to users. Which role do you assign to which user, and why?

Beheerder (Administrator)

The administrator can:

  • View all orders

  • Place orders themselves

  • View all users and add, invite, edit or delete users

  • Log in as other users

  • View all branches and add, edit or delete branches

  • View all cost centres and add, edit or delete cost centres

  • View dashboard statistics for the entire organisation

  • Create order exports

  • View invoices

  • View/edit the workflow for ordering and invoicing

  • Manage brand portal settings

  • Approve orders and budget requests, if applicable

Functioneel beheerder (Functional administrator)

The functional administrator can:

  • View all orders

  • Place orders themselves

  • View all users and add, invite, edit or delete users

  • Log in as other users

  • View all branches and add, edit or delete branches

  • View all cost centres and add, edit or delete cost centres

  • View dashboard statistics for the entire organisation

  • Create order exports

  • View invoices

  • View/edit the workflow for ordering and invoicing

  • Manage brand portal settings

  • Approve orders and budget requests, if applicable

Manager

The 'manager' role can be set up based on the linked branch, or based on a dropdown in the checkout listing all users who have the role "Manager". This gives the orderer a choice of all managers in the dropdown, so they can pick a manager for approval.

The manager can:

  • View all orders they have approved

  • Place orders themselves, and their order is approved immediately, because managers don't need approval for their own orders.

Financiële administratie (Financial administration)

The 'financiële administratie' (financial administration) role can be used to set the user as the recipient of the invoice. This user can view all new and previously generated invoices for the branch in question. This user can also place orders.

The 'financiële administratie' (financial administration) role can:

  • View all orders they have placed

  • Place orders themselves

  • Be set as the recipient of the invoice

  • View all invoices of a branch or branches for which this user has been selected as the invoice recipient (in the branch itself).

Besteller (Orderer)
This person places orders within the portal

The 'besteller' (orderer) role is intended for users who need to place orders.

The 'besteller' (orderer) can:

  • View all orders they have placed

  • Place orders themselves

Externe besteller (External orderer)

The 'externe besteller' (external orderer) role applies when an external purchasing system is connected.

The username and password that have been set must be entered by the purchasing system in order to establish a so-called OCI connection.

The 'externe besteller' (external orderer) can:

  • Place orders themselves

Please note!

Normally, the 'externe besteller' (external orderer) role should never be assigned to a user. It also isn't intended to link this role to a user as a 'viewer'. It should only be used when an external purchasing system is connected.
